I’ve been using Trello for about five years now, and I am absolutely OBSESSED with it! I currently have a Trello series over on my YouTube channel, showing you all about the program, from how to set up a Trello board for social media content preparation, organizing and podcast planning, event planning, and basically anything and everything.
What is Trello?
Trello is a web-based Kanban-style list-making application that is used to keep track of everything you’re planning. Kanban is a process that is most commonly used in project management. It is simply a visual-based system for managing work as it moves through a process. Trello is a great tool to use if you’re an individual business owner struggling to keep track of all the different moving parts of your business
If you’re creative then you might, like me, be a very visual learner. You therefore probably work better when the presentation is clear and aesthetically pleasing, and that’s why Trello works so well!
Trello Terminology
Board: A “board” is basically the main page for a project you are working on and want to break down.
Lists: The steps of the workflow that you prefer or the phases that the project will go through. Once you’ve got those phrases in place you add your tasks or information that you need to keep track of.
Card: Tasks, steps or information that you need to keep track of or complete for the project
How to Use Trello
There are two different views with Trello; your home view and boards view. When you create an account on Trello it will probably automatically jump you into a “board”. I always keep my Trello account on the “board” view, this way I have an overview of all my projects I’m working on.
Creating a Board
If you want to create a board or a new project, then all you have to do is click the + button in the top right corner and select ‘create a board’. You can then choose a title for your board and color or photo for the background of the board.
The most common way to organize your tasks within a board is by using the Kanban method I mentioned earlier. You would make three lists labeled ‘to do’, ‘doing’, and ‘done’. Brain dump all the tasks or ideas you have to do in the ‘to do’ list and prioritize the tasks by putting the most important ones at the top. Then, you can click and drag the tasks over to the ‘doing’ list when you’re in the process of completing them, and then drag them over to the ‘done’ list when they’re… well, done! Simple!
Opening up cards
When you click on a card, it will pop open a window where you can add more information about that task. You can include a description, make a checklist, keep track of due dates, and you can even add people to the card if you’re working on a task with a team.
Calendar View
Adding due dates is perhaps one of the most important things to do with your tasks! When you are consistent with adding due dates, there is another way you can view all your tasks on Trello. On the board, in the top right corner, there is the option to change to ‘calendar view’. When you click on that it will show you when all the tasks you need to complete in calendar form, similar to having your own planner!
Menu
Another button you’ll see on the top right of your board is a ‘show menu’ button. Within that menu you can change the background of your board, quickly ‘search’ through cards, ‘star’ a board if it’s one you’re frequently using, and more.
